Turn WooCommerce into a complete workshop booking platform.

Installation

1. Back up your WordPress files and database.
2. Make sure WooCommerce is installed, active and working correctly.
3. Open Plugins → Add New Plugin → Upload Plugin.
4. Upload the installable Workshop Bookings Pro ZIP file.
5. Activate Workshop Bookings Pro.
6. Keep only one edition active at a time: Lite or Pro.

Declared minimum requirements are WordPress 6.4, WooCommerce 8.0 and PHP 7.4. A currently supported PHP version is recommended.

License Activation

1. Open WooCommerce → Workshop Bookings or click Activate License from the Plugins screen.
2. Enter your personal license key.
3. Complete email verification if requested.
4. Open the Account section and confirm that your plan displays PRO.
5. Use Sync License if the license status needs refreshing.

Each license includes a specific activation allowance according to the purchased plan.

If a Pro license becomes invalid or expires, Pro-only functionality is no longer available. Existing booking data is not deleted.

Create a Workshop

1. Open Products → Add New.
2. Enter the workshop title, description and product image.
3. Under Product Data → Workshop Booking, enable booking functionality.
4. Enable single participation, monthly participation, or both.
5. Set the corresponding prices.
6. Add weekly schedule rows with weekday, start time, end time and capacity.
7. Add blackout dates for holidays or unavailable dates.
8. Configure booking horizon, maximum selectable months, participants per booking and booking cutoff.
9. Save the product and review the booking experience as a customer.

Monthly participation means prepaid selected calendar months. It does not automatically renew the booking or charge the customer’s card again.

Single and monthly bookings share the same session capacity. WooCommerce quantity represents the number of participants.

Reminders, RSVP & Calendar Integration

Open WooCommerce → Workshop Bookings and configure automatic customer reminders.

Set how long before each session the reminder should be sent.

Workshop Bookings Pro can collect YES / NO attendance responses, release capacity after a NO response and apply a response cutoff.

Preserve these message variables exactly: {{workshop}}, {{date}}, {{time}}, {{order_number}}.

Google Calendar links and .ics downloads allow customers to save workshop sessions without Google Cloud, OAuth or API credentials.

Calendar export is not two-way synchronization. Removing or changing a booking does not automatically remove a previously imported calendar event.

Staff Calendar & Phone Bookings

1. Open WooCommerce → Workshop Calendar.
2. Select a workshop and month.
3. Review session availability and participant information.
4. Select a session to create a phone booking.
5. Enter customer contact details and participant quantity.
6. Manage payment from the resulting WooCommerce order.

Phone bookings use the same capacity pool as online bookings.

Message Templates & Campaigns

1. Open WooCommerce → Message Designer.
2. Create a reusable message template with a subject and body.
3. Save the template.
4. Saving a template does not send an email.
5. Choose the relevant campaign, recipients and template before sending.

Cancellation communication can be associated with a specific workshop and date.

Financial refunds remain separate WooCommerce order actions.

Analytics, Loyalty & Referrals

The Workshop Dashboard provides booking, revenue and workshop performance information with customer and date filters.

Referral programs can define the required number of referred customers, reward percentage, eligible workshops and reward expiry.

Rewards are issued as WooCommerce discount coupons, not cash commissions.

Eligible guest purchases can be attributed using billing email. Repeated purchases from the same billing email do not generate additional referral counts under the same referral policy.

Self-referrals are excluded.

Updates & Troubleshooting

Back up your website before major updates and keep WordPress, WooCommerce and PHP current.

• License quota reached: review existing activated websites and synchronize the current license.
• Pro features are unavailable: verify license status, email confirmation and use Sync License.
• Email is not being delivered: check spam filtering, SMTP configuration and scheduled WordPress tasks.
• No available places: review workshop schedules, blackout dates, booking cutoffs and existing reservations.
• My Account page returns 404: open Settings → Permalinks and save the settings again.
